SmartCode apps & Google Drive

Google Drive privacy policy

How SmartCode Systems apps access, use, store, share and delete your Google user data when you connect Google Drive.

Effective date: 10 October 2026.

This policy explains how applications published by SmartCode Systems (“SmartCode apps”) handle information from your Google Account when you connect Google Drive. It applies to every SmartCode Systems product that offers a Google Drive connection, including the Smart solutions and companion tools listed on this website.

Connecting Google Drive is optional. You choose when to connect, and the app works without it. Only Drive backup, restore, backup clean-up and opening files from Drive need the connection.

SmartCode apps’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

Google data we access

When you connect Google Drive, Google asks you to approve access. SmartCode apps request only the permissions needed for the features you use.

  • Basic profile information: your Google Account name and email address, used to show which account is connected (openid, email and profile scopes).
  • Files the app creates in your Google Drive, such as backup and export files (drive.file scope).
  • Individual files you choose yourself in the Google file picker, such as a document to import or print (drive.file scope).
  • SmartCode apps cannot see, open, change or delete any other file or folder in your Google Drive.

How we use Google data

Google user data is used only to provide the Google Drive features you see in the app. It is not used for any other purpose.

  • Upload backup files that you create or schedule to your Google Drive.
  • List and download backup files that the app created, so you can restore your data.
  • Open a file you selected from Google Drive for the action you started, such as importing or printing.
  • Delete older backup files that the app created, following the backup retention setting you choose or when you ask it to.
  • Show the name and email address of the connected Google Account.

What we never do with Google data

These commitments apply to all Google user data, including the contents of files in your Google Drive.

  • We do not sell Google user data.
  • We do not use or transfer Google user data for advertising, including personalised, retargeted or interest-based advertising.
  • We do not use Google user data to determine creditworthiness or for lending purposes.
  • We do not use Google user data to develop, improve or train generalised or non-personalised artificial intelligence or machine-learning models.
  • Our staff do not read your Google user data unless you give explicit consent for specific files, it is necessary for security purposes such as investigating abuse, it is required by law, or the data is aggregated and anonymised for internal operations.

Storage and security

SmartCode apps connect directly from your device or your organisation’s server to Google. Backup files are stored in your own Google Drive and stay under your control. The contents of your Drive files are not copied to SmartCode Systems servers. The access token issued by Google is stored only on the device where the app runs, in protected app storage, and is sent only to Google over encrypted HTTPS (TLS) connections. We recommend that you protect your Google Account with 2-Step Verification and use backup encryption or passwords where the app offers them.

Sharing and disclosure

We do not share or transfer Google user data to third parties except in these limited cases. Backup files in your Google Drive are shared with other people only if you share them yourself using Google Drive.

  • With your consent, for example when you send a file to our support team.
  • When required by law, regulation or a valid legal request.
  • To protect against fraud, abuse or security threats to users or our apps.
  • As part of a merger, acquisition or sale of assets, with notice to you and with this policy continuing to apply to the data.

Retention and deletion

We keep Google user data only as long as needed to provide the features you use.

  • Backup files remain in your Google Drive until you delete them, or until the app removes older backups under your retention setting.
  • Disconnecting Google Drive in the app deletes the stored access token and connected account details from that device.
  • Files you send to our support team are used only to resolve your request and are deleted within 30 days after the request is closed.
  • To ask us to delete any Google user data we hold, email [email protected]. We respond within 30 days.

Revoking access

You can disconnect Google Drive in the app at any time. You can also remove SmartCode apps from your Google Account at https://myaccount.google.com/connections (Google Account → Security → Your connections to third-party apps & services). After access is removed, the app can no longer reach your Google Drive. Backup files already in your Drive stay there until you delete them.

Children

SmartCode apps are business software. They are not directed at children, and we do not knowingly collect Google user data from children.

Changes to this policy

We may update this policy when our apps or Google’s requirements change. We will update the effective date above and, for significant changes, notify users in the app or on this website before the change applies. If a change affects how we use Google user data, we will ask for your consent again where required.

A few useful answers.

Can SmartCode Systems see all of my Google Drive files?

No. SmartCode apps use the limited drive.file permission. They can access only files the app created, such as backups, and individual files you choose in the Google file picker.

Are my backups stored on SmartCode Systems servers?

No. Backups are uploaded directly from the app to your own Google Drive. You can view, download, share or delete them in Google Drive at any time.

What happens to my backups if I disconnect Google Drive?

The app stops accessing Google Drive and deletes its stored access token. Backup files already in your Drive are not deleted.
