The whole picture

Built around the work you do every day.

Designed for

  • K-12 schools
  • Coaching and tuition centres
  • Colleges and institutes
  • Schools with buses, hostels and a library

Smart School is one app for a K-12 school (from the first year of kindergarten to Class 12), a coaching or tuition centre (courses and batches) or a college (programmes, semesters and credits). Each is a switch in the settings, and one student record carries the story from the first enquiry through admission, class, attendance, exams and fees to the certificates.

The office takes an enquiry through application, entrance test, offer and admission, with an online form parents can fill in from a phone, a waiting list, a documents checklist and the seats left in each class. Teachers mark attendance by tapping only the absentees, and parents are told the same day. A timetable checks teachers and rooms for clashes, homework is handed in on the portal, and marks, grading scales and report cards are published by the exam controller when the results are ready.

Fee plans with instalments, concessions, bus and hostel fees come from the one student record, and the fee desk takes payments, adds late fines and prints receipts. Each fee is raised as a proper invoice, so the accounts stay in step. Each company can follow Indian practice (school fees GST exempt, Aadhaar, PEN and APAAR IDs), UAE practice (Emirates ID, education zero-rated) or a neutral international setup. The software keeps the records and does the sums; results, discounts and waivers stay with the people who are allowed to decide them.

One record for every student

Enquiry, admission, class, attendance, marks, fees and certificates stay with the student instead of in separate registers.

Parents who hear the same day

An absence alert goes out as the register is saved, and reminders go to parents for fees that are due.

Fees that match the books

Every fee is raised as a proper invoice, so receipts, dues and the accounts agree.

A closer look at the records, decisions and team handoffs behind each part of the solution.

01

Admissions and students

Take an enquiry through application, entrance test, offer and admission, with an online form that parents can fill in from a phone. The admitted child becomes a student record with the parents linked, and brothers and sisters are recognised.

  • Waiting list, offers that lapse, a documents checklist and the seats left in each class
  • Aadhaar (kept to the office), PEN and APAAR for India or Emirates ID, passport and visa for the UAE, with medical details and the previous school
02

Attendance, timetable and homework

Mark attendance daily or period by period, with everyone present until the teacher taps the absentees. Parents are told by WhatsApp or e-mail, leave requests mark the days as On Leave, and the timetable checks teachers and rooms for clashes.

  • Registers lock once they are done, and a monthly register prints for each class
  • Substitutions suggest a free teacher, and homework is handed in on the portal and given marks
03

Exams and report cards

Set up exam types, papers for each subject and grading scales, enter marks with locks, and print hall tickets and report cards. Results reach parents only when the exam controller publishes them.

  • A CBSE-style term scheme, co-scholastic grades, ranks and supplementary exams
  • Credits with SGPA and CGPA for a college, and year-end promotion that creates next year’s classes
04

Fees and the fee desk

Fee plans with instalments, new-student-only and optional items, and bus, hostel and mess fees picked up from the stop or the room. The fee desk takes payments oldest first, adds late fines and prints a receipt.

  • Concessions for brothers and sisters, staff wards and RTE are raised for you: a sibling concession is approved at once and a staff-ward concession waits for the Principal, as do other concessions and fine waivers
  • Fee dues, reminders to parents, and a fee certificate that shows tuition apart for section 80C in India
05

Transport, hostel and library

Run bus routes with stops, fees and vehicle papers that raise alerts before they expire. Allot hostel rooms and beds with a gender check, record out-passes, and issue and return library books with loan limits and billed fines.

  • A route sheet for every bus, and vehicle papers with expiry alerts
  • Hostel rooms, beds and out-passes, and library copies with an issue and return desk
06

Certificates, portal and roles

Issue transfer certificates (with a no-dues check, by the Principal only), bonafide, character, completion and fee certificates with a QR code that opens a public check page, and print ID cards. Parents log in to follow attendance, ask for leave, hand in homework, download report cards and see fees.

  • Notices and circulars, discipline records and sick room visits
  • Nine roles, from the office and teachers to the Principal, with a dashboard that shows today’s attendance and what needs attention
  • A live Monitor board for the office wall, and dashboard cards for students present, open enquiries, fees due and what needs attention, each opening the records behind it
  • Fee invoices, expenses and suppliers in the same books, with ledgers, profit and loss and a balance sheet, and staff pay and leave when you switch them on

Included at a glance

  • Admissions from enquiry to seat, with an online form
  • Attendance with same-day alerts to parents
  • Timetable with clash checks, and homework
  • Exams, grading scales and report cards
  • Fee plans, a fee desk, receipts and reminders
  • A parent and student web portal, and QR-checked certificates

The everyday journey

From the first step to the final handoff.

Follow a typical transaction through the teams that keep it moving.

  1. 01

    Admit

Take the enquiry, the entrance test and the offer, check the documents and admit the child into a class. The student record is made and the parents are linked.

  2. 02

    Teach

Take attendance, run the timetable with substitutions and set homework. Parents are told of absences, and leave requests are approved in the office or on the portal.

  3. 03

    Assess

Enter marks for each paper, publish the results through the exam controller, and print report cards and hall tickets. At the end of the year, promote the classes into the next year.

  4. 04

    Collect

Bill the fees from the plan, the bus stop and the hostel room, take payments at the fee desk with a receipt, and remind parents of what is due.

Where it fits

an everyday moment.

Illustrative scenarios showing how the capabilities work together.

A K-12 school from admission to report card

Parents apply on the online form, and the office tests, offers a seat and admits the child, with a brother’s record linked to the family. Teachers mark attendance each morning and parents are told of absences. After the exams the controller publishes the results and parents download the report card from the portal.

A coaching centre running batches

The centre switches on coaching mode, sets up courses and batches, and bills each student from the fee plan with instalments. Attendance, exams and report cards work as in a school, and the fee desk follows what each student has paid and what is due.

Talk to our team ↗

Is it for a school, a coaching centre or a college?

For all three. A school from kindergarten to Class 12, a coaching or tuition centre with courses and batches, and a college with programmes, semesters and credits are each a switch in the settings.

Does it follow Indian or UAE practice?

It can follow either, or a neutral international setup. For India it has Aadhaar, PEN and APAAR fields and treats school fees as GST exempt, with coaching fees taxed. For the UAE it has Emirates ID, passport and visa fields, and education is zero-rated.

Who can publish results and give discounts?

Results reach parents only when the exam controller publishes them. Concessions for brothers and sisters, staff wards and RTE are raised for you automatically. A sibling concession is approved at once, and a staff-ward concession waits for the Principal, as do other concessions and the waiver of a late fine.

How do parents use it?

Parents get a web login made from the student record, by e-mail or mobile number, and use it in the browser of any phone with nothing to install. They follow attendance, ask for leave, hand in homework, download report cards and see fees.

Can we start small and add the rest later?

Yes. The timetable, transport, hostel and library are separate switches, and staff pay and leave can be switched on when you want them.

Does it run offline or online?

Both. Offline, it runs on your own server over your own network, and WhatsApp and backup need internet. Online, it is cloud hosted and you use it from anywhere through a web address, with hosting charged extra.

How do we get started?

Pick your mode (school, coaching centre or college), add your classes, set your fees and admit the first student, then take attendance. There is a guide book and help on the main screens, sample data to try every screen first, and support from inside the app and from our team.
