The whole picture

Built around the work you do every day.

Designed for

  • Job board operators
  • Recruitment portals
  • Hiring and placement agencies
  • Niche and regional job boards

Smart Job Portal is for the operator of a job board. Employers register, buy job-posting packages and post jobs from their own portal, and job seekers build a profile with their CV and apply. You run the public job website, check the employers and jobs, and invoice the packages, all in one system. It is built for the operator of the board, not for a single company hiring for itself.

Job seekers search live jobs by keyword, place, category, job type, workplace, experience and pay, see a match score with the reasons, and apply in one click. Employers get their own portal with an applicant board by stage, interviews with invitations and feedback, and offers that the candidate signs on screen. A resume database keeps candidates’ details masked until an employer uses an unlock credit.

You verify employers, approve jobs or send them back with a reason, and act on reports from the public. Packages carry job posts, featured jobs and resume unlocks, and each order is invoiced and starts once it is paid. An optional assisted-hiring desk lets your recruiters fill client jobs and invoice a placement fee when the candidate joins. The software is country neutral: pay can be shown in any currency and period, and invoices follow your company’s own tax setup.

One system for the whole board

Employers, jobs, applicants, interviews, offers, packages and invoices stay together, so nothing is typed twice.

Only real employers and safe jobs

You verify employers, approve jobs or return them with a reason, and act on reports from the public.

Revenue invoiced from the record

Package orders and placement fees become invoices straight from the record, and a package starts once it is paid.

A closer look at the records, decisions and team handoffs behind each part of the solution.

01

A public job website

Job seekers search live jobs by keyword, location, category, job type, workplace, experience, pay and how recently a job was posted, with sorting and counts. Every category and location gets its own page, employers get company pages, and live jobs carry Google for Jobs data.

  • A company directory, similar jobs, saved jobs, share links and an RSS feed
  • Job alerts by e-mail when a new job matches
  • Pages for every city and job category, and live jobs that carry Google for Jobs data
02

Job seekers and applying

A job seeker keeps one profile with skills, work history, education and a CV, and applies in one click with screening answers, a cover letter and expected pay. A match score from 0 to 100 shows why a job fits or does not.

  • Choose who can find the profile, hide it from chosen employers, or delete the account
  • Fill the profile from the CV with an AI scan, once the AI service is set up
03

Employer portal and applicants

Each employer posts and manages its own jobs with up to six screening questions, and works the applicants on a board by stage that can be filtered by match score. Several team members can share one employer account.

  • Notes, ratings and a reason when a candidate is not selected
  • Packages, credit history and invoices to pay in one place
04

Interviews and offers

Employers invite candidates to video, phone or in-person interviews with a calendar file in the invitation. The candidate accepts, declines or asks for another time, and the interviewer records a rating and feedback. An offer letter is made as a PDF and the candidate accepts on screen with a drawn signature.

  • Reminders the day before an interview
  • A reply-by date and an expiry on every offer
05

Moderation and safety

Employers register with company details and a document, and you verify or suspend them. You choose which jobs need approval, and a job is approved or sent back with a reason that is e-mailed. The public can report a job, and a live job pauses after a set number of reports until you uphold or dismiss them.

  • A verified badge on company and job pages
  • Reports with a reason, counted once for each person
06

Packages, resume database and assisted hiring

Sell packages with job posts, featured jobs and resume unlocks. An order is invoiced and the package starts when the invoice is paid, or on credit when the accountant agrees. Employers search a resume database where details stay masked until an unlock credit is used. An optional assisted-hiring desk fills client jobs and invoices a placement fee.

  • A welcome package at sign-up, and a credit ledger that uses the soonest-to-expire package first
  • Placements with a fee as a percentage or a fixed amount, a guarantee period, and a candidate profile PDF for the client
07

Dashboard, books and people

Each role opens to its own cards: jobs awaiting approval, applications today and interviews today, with a chart of applications over the last seven days. Every number opens the records behind it.

  • A live Monitor board for the office wall, and cards for the desk, sales, recruiters and accounts
  • Package and placement invoices raised from the order, following your company’s tax set-up, with books and reports
  • Hiring reports for jobs, applications, package sales and placements, and staff pay and leave when you switch them on

Included at a glance

  • A public job website with search, company pages and alerts
  • Employer sign-up, verification and job moderation
  • Job seeker profiles, CVs and one-click apply with match scores
  • An employer portal with applicant board, interviews and offers
  • Packages and resume unlocks, invoiced from the order
  • Optional assisted hiring with a placement fee

The everyday journey

From the first step to the final handoff.

Follow a typical transaction through the teams that keep it moving.

  1. 01

    Post

Employers register and you verify them. They buy a package and post jobs from their portal, and your desk approves each job or sends it back with a reason.

  2. 02

    Search

Job seekers find live jobs on your public website by keyword, place and category, or get an e-mail alert when a new job matches.

  3. 03

    Apply

A job seeker applies in one click with the profile CV, answers the screening questions and sees a match score for the job.

  4. 04

    Hire

The employer shortlists on the applicant board, interviews the candidates and sends an offer that the candidate signs on screen.

Where it fits

See it in
an everyday moment.

Illustrative scenarios showing how the capabilities work together.

A regional job board selling packages

A new employer signs up, you verify it and it buys a package. Its first job is approved and goes live with Google for Jobs data. Applicants arrive with match scores, and the employer interviews them from its portal and sends a signed offer.

A recruitment agency with a public job site

The agency switches on assisted hiring, adds a client employer with a fee and a guarantee period, and its recruiters post and fill the client’s jobs. When a candidate joins, the placement fee is invoiced, and if the candidate leaves within the guarantee period the job reopens.

More specific questions?
Talk to our team ↗

Is it for one company hiring for itself?

No. It is built for the operator of a job board, where many employers post jobs and many job seekers apply. It is not an applicant tracking system for one company’s own hiring.

Do employers have to be verified before they post?

You decide. You can verify employers by their company details and a document, and choose whether every job, only the jobs of unverified employers, or no job needs approval before it goes live.

How are employers charged?

Through packages that include job posts, featured jobs and resume unlocks. An order is invoiced from the record and the package starts once the invoice is paid, or on credit when the accountant agrees. Prices and what each package includes are yours to set.

Which countries and currencies does it work in?

It is country neutral. Pay can be shown in any currency and for any pay period, and invoices follow your company’s own tax setup.

Can job seekers keep their profile private?

Yes. A job seeker chooses whether anyone can find the profile or only the employers applied to, can hide it from chosen employers, and can delete the account, which anonymises it.

Does it run offline or online?

Both. Offline, it runs on your own server over your own network, but the public job site, the AI scan and backup need internet. Online, it is cloud hosted and you use it from anywhere through a web address, with hosting charged extra.

How do we get started?

Choose your features, add your team (desk, sales, recruiters and accounts), set your packages with their prices and what each includes, and open your job site so employers and job seekers can sign up. There is step-by-step help on the main screens, sample data to try every screen first, and support from inside the app and from our team.
