The whole picture

Built around the work you do every day.

Designed for

  • Chartered accountants and CA firms
  • Accounting and bookkeeping firms
  • Tax and GST practitioners
  • A company that needs its own accounts and salary only

Smart Accounting is for chartered accountants and accounting firms that keep the books of many businesses. Every client is its own company, with its own chart of accounts, GST settings and ledgers, and the firm’s own staff, work and fees sit in the same system. A company that needs only its own accounts and salary can switch the firm side off and keep the books, GST, payroll and finance reports.

A compliance calendar raises each client’s filings with their due dates: GSTR-1 and GSTR-3B (monthly or quarterly), CMP-08, GSTR-9, TDS payment and returns, PF and ESI, advance tax, income-tax returns, tax audit and ROC forms. When the government extends a due date, one change moves it for every client. Staff work the clients assigned to them, a reviewer marks each return filed with its ARN and acknowledgement, and the partner sees who is behind on one dashboard.

Time is booked against clients and billed from fee plans (a retainer, a fee for each filing, an hourly rate or a one-time fee), and a month-end fee run raises one invoice for each client. Bank statements are imported and matched against the books, clients send their documents and follow their filings on a web portal, and client payroll is run with payslips and the PF, ESI and tax figures. The software keeps the records and the due dates; your team still files the returns on the government portals and records the ARN here.

No due date missed in silence

Every client’s filings sit in one calendar with their due dates, and the dashboard shows what is due today and what is overdue.

Fees billed for the work done

Time and fee plans are in the same system as the invoices, so nothing worked on goes unbilled by mistake.

Clients who send things on time

Requests for documents go out from the filing, and clients upload from their own login instead of by e-mail.

The friction we help remove

A clearer way
through the busywork.

Bring the handoffs, records and follow-through into the same operating picture.

01

Due dates kept on a wall chart or in a spreadsheet, with no view of which client is behind

02

Bank statements, bills and salary inputs chased by phone and e-mail from every client

03

Time worked and fees billed in different places, so the firm cannot see what each client earns

A closer look at the records, decisions and team handoffs behind each part of the solution.

01

Clients and their books

Each client is its own company, with its own chart of accounts, GST settings, journals and financial year. A New Client wizard creates the client’s books with the India chart of accounts, and each client is given the services it takes. PAN, TAN, GSTIN and the type of business sit on the client, with an engagement partner and a team.

  • Staff see the clients and filings assigned to them, and every ledger, GST report and finance report is the client’s own
  • Roles for the partner, accountant, reviewer, payroll executive and staff, and a demo set of a firm with five clients to try
02

Compliance calendar and filings

A catalogue of 22 services gives each filing its due-date rule: GSTR-1 and GSTR-3B monthly or quarterly, CMP-08, GSTR-9, TDS payment and the 24Q, 26Q and 27EQ returns, PF and ESI, advance tax, income-tax returns, tax audit, AOC-4, MGT-7, LLP forms, the monthly books close and payroll. Each period’s filings are raised for every client that takes the service.

  • A filing moves from documents pending through review to filed, and the reviewer enters the ARN or acknowledgement number before it can be marked filed
  • When the government extends a due date it is one change in the Due Date Calendar, and every client’s filing of that period moves with it
03

Time, fees and the fee run

Staff book time against clients, with a cost rate and a billing rate for each person. Each client has a fee plan: a monthly, quarterly or yearly retainer, a fee for each filing of a service, an hourly rate or a one-time fee. At month end the fee run shows what is billable, line by line, and raises one invoice for each client.

  • Each billable item is billed once, and a cancelled invoice frees it again
  • A realisation report shows hours, their cost and the fees billed for each client and month, and unbilled work shows on the dashboard
04

Bank reconciliation

Download a bank statement as CSV or Excel and import it with the bank’s layout (SBI, HDFC, ICICI, Axis, Federal, Kotak or a generic one). Lines already imported are skipped, and each line is matched to the book entry of the same amount whose number, cheque or memo appears in the narration.

  • Bank rules book charges and interest, and a line can be turned into a receipt or payment, with Unmatch to undo it
  • A Bank Reconciliation Statement as on any date explains the books balance against the bank balance
05

Client portal and documents

Clients log in on the web to send bills, bank statements and salary inputs, and to answer a request for documents. They see the returns due and filed, download the acknowledgements and open the fee invoices that are due.

  • The back office marks documents processed or sends them back with a reason the client sees
  • One draft vendor bill for each uploaded file can be made in the client’s books, with the file attached
06

Payroll, year end and MIS reports

Run payroll for a client’s staff each month: a draft salary for each employee, approval and posting by the manager, payslips, and the PF ECR, ESI, professional tax and TDS figures. Work out income-tax depreciation by block of assets, see the fixed asset schedule and move the year’s profit to reserves or partners’ capital.

  • MIS reports with months side by side, this year against last, companies with a consolidated total, and actual against budget
  • Each figure opens its journal entries, and a report downloads as Excel or PDF

Included at a glance

  • A compliance calendar with due dates for GST, TDS, PF, ESI, income tax and ROC filings
  • Filings with the ARN and acknowledgement, and a dashboard for the partner
  • A separate set of books for every client, with the India chart of accounts
  • Time entries, fee plans and a month-end fee run
  • Bank statement import, matching and a reconciliation statement
  • A client portal for documents, filings and fee invoices

The everyday journey

From the first step to the final handoff.

Follow a typical transaction through the teams that keep it moving.

  1. 01

    Onboard

Add the client, create its books with the India chart of accounts and give it the services it takes. Staff and a partner are assigned, and the client can be given a portal login.

  2. 02

    File

The calendar raises each period’s filings with due dates. Staff collect the documents and prepare the return, and the reviewer marks it filed with the ARN and acknowledgement.

  3. 03

    Bill

Staff book their time, and the month-end fee run raises one invoice for each client from its fee plan. Unbilled work and dues show on the dashboard.

  4. 04

    Close

Import the bank statement and reconcile it, run the client’s payroll, then read the MIS report. At year end, work out depreciation and transfer the profit.

Where it fits

See it in
an everyday moment.

Illustrative scenarios showing how the capabilities work together.

A CA firm with clients in GST and TDS

The firm adds each client with its own books and the services it takes. The calendar raises GSTR-1, GSTR-3B and TDS filings each month, staff work the clients assigned to them, and the reviewer marks each return filed with its ARN. The partner checks the dashboard to see who is behind.

A company that needs only its own accounts and salary

The company switches the accounting firm side off in the settings. The clients and compliance screens go, and the books, GST, payroll and finance reports stay for the one company.

Talk to our team ↗

Who is it for?

For chartered accountants and accounting firms that keep the books, GST, TDS and payroll of many client businesses. A single company that needs only its own accounts and salary can use it too, with the firm side switched off.

Does it file returns on the government portals?

No. It raises each filing with its due date, tracks the work and keeps the ARN or acknowledgement number and the acknowledgement file once your team has filed the return. The return itself is filed on the government portal.

How are clients’ books kept?

Each client is its own company in the one database, with its own chart of accounts (the India chart is loaded for you), GST settings, journals and ledgers. Staff see only the clients assigned to them.

Can clients see their work?

Yes. Clients log in on the web, send documents, see the returns due and filed, download the acknowledgements and open the fee invoices that are due. Nothing needs installing.

Does it do payroll for clients?

Yes. Each client’s employees are paid from a monthly payroll run with payslips and the PF, ESI, professional tax and TDS figures. Form 16 Part B and the 24Q file are not made by the system yet.
